
Festival / Competition / Concert Entry Terms & Conditions
Battu Brisé Dance Studio
Participation in festivals, competitions, showcases, examinations and year-end concerts is optional, but once committed, participation becomes subject to the following terms and conditions.
By submitting the Festival / Competition Entry Form, the parent/guardian (or adult student) acknowledges and agrees to the following:
1. Participation Commitment
All students are required to complete the official Entry Commitment Form to confirm whether they will or will not be participating in concerts, showcases, competitions, festivals and examinations.
Submission of the form and digital signature confirms full understanding and acceptance of:
- participation expectations,
- rehearsal commitments,
- attendance requirements,
- financial obligations,
- and all terms outlined below.
Failure to submit the form by the stated deadline may result in automatic exclusion from participation.
2. Entry Fees
All examination, festival and competition entry fees must be paid in full and upfront by the stated due date.
No entry fee paid = no entry submitted = no participation.
Battu Brisé will not submit any entries, reserve places, or confirm participation without full payment being received.
All entry fees are:
- non-refundable,
- non-transferable,
- and may not be credited toward tuition or any other studio fees.
This includes withdrawals due to illness, injury, scheduling conflicts, or personal circumstances after entry submission.
3. Costume Hire
All students participating in concerts, competitions, festivals or showcases will be required to pay a Costume Hire Fee.
Costume hire fees must be paid in full by the due date.
No costume hire paid = no costume issued = no participation.
All costumes remain the property of Battu Brisé and are hired to students for performance use only.
All hired costumes must be:
- returned on time,
- clean,
- complete,
- and in good condition.
Any damage to costumes, missing items, or lost accessories will result in additional charges being added to the student’s account.
This includes (but is not limited to):
and garment bags.
headpieces,
gloves,
belts,
tights,
props,
hair accessories,
4. Dancewear, Stockings & Shoes
Students are responsible for arriving with the correct required dancewear, stockings and shoes for rehearsals and performances.
If a student arrives without the correct stockings or ballet shoes, Battu Brisé may lend studio items where available.
These items will be charged separately in addition to costume hire.
Any borrowed studio items must be returned in good condition. Damaged, lost or unusable items must be replaced in full at the student’s expense.
5. Hair & Make-Up
Students are responsible for arriving performance-ready with the correct hair and make-up unless prior arrangements have been made.
A Hair & Make-Up Assistance Fee will apply should Haleigh van Rooyen be requested to assist with hair and/or make-up.
This fee covers:
- preparation time,
- products,
- tools,
- and restocking costs.
Hair and make-up assistance must be booked in advance via the official booking form.
No last-minute bookings will be accommodated.
6. Communication of Participation / Non-Participation
If a student does not wish to participate in concerts, competitions, festivals, showcases or examinations, written notice must be submitted by the stated deadline.
Notice must be submitted in writing via email only.
No WhatsApp, SMS, verbal messages or messages via other parents will be accepted.
Failure to decline participation in writing by the stated deadline will be treated as commitment to participate, and applicable costume and preparation fees may still be charged.
7. Attendance Requirement
Festivals, competitions and concerts require commitment, discipline and consistent attendance.
Missed classes do not only affect the absent student — they delay group progress, impact formations, disrupt spacing, affect choreography, and hold back the progress of the entire team.
Because of this, consistent attendance is essential.
Students participating in:
- concerts,
- festivals,
- competitions,
- showcases,
- and examinations
must maintain strong attendance and attend all required rehearsals.
Minimum attendance requirements:
- Year-End Concerts: minimum 85% attendance
- Festivals / Competitions / Showcases: minimum 80% attendance
- Stage Rehearsals / Dress Rehearsals: compulsory attendance
Repeated absence, chronic lateness, or failure to attend rehearsals may result in immediate withdrawal from participation.
All fees remain payable regardless of withdrawal due to non-attendance.
8. Stage Rehearsals & Dress Rehearsals
Stage rehearsals and dress rehearsals are compulsory and non-negotiable.
These rehearsals are essential for:
- spacing,
- technical cues,
- stage orientation,
- confidence,
- costume preparation,
- and dancer safety.
Late arrival or absence from a stage rehearsal or dress rehearsal may result in immediate withdrawal from the performance, competition or festival.
No exceptions will be made.
This policy is in place for the safety of all dancers and the integrity of the performance.
9. Right of Withdrawal
Haleigh van Rooyen reserves the right to withdraw any student from participation in concerts, festivals, competitions, showcases or examinations where necessary.
This includes but is not limited to:
- insufficient attendance,
- repeated lateness,
- missed rehearsals,
- disruptive behaviour,
- failure to learn choreography,
- failure to meet rehearsal expectations,
- unpaid accounts,
- failure to comply with costume, grooming or performance requirements,
- or conduct that negatively affects the group, performance standard or studio reputation.
All costs incurred up to the point of withdrawal remain payable in full.
10. Group Placement & Casting
Placement of students into solos, duets, trios, quartets, groups and examination entries is at the sole discretion of Haleigh van Rooyen.
Casting decisions are based on:
- attendance,
- commitment,
- ability,
- readiness,
- technical standard,
- maturity,
- and performance suitability.
All casting and group placement decisions are final.
No changes, substitutions or requests will be accommodated.
11. Additional Rehearsals & Extra Lessons
Additional rehearsals, stage practices, private lessons and extra coaching sessions may be added to the schedule during examination, competition, festival and concert preparation periods.
These classes are compulsory where scheduled.

12. Choreography Protection
All choreography remains the intellectual property of Battu Brisé and Haleigh van Rooyen.
Under no circumstances may choreography be:
- altered,
- simplified,
- reworked,
- taught externally,
- or changed by a student, parent, guardian, or outside teacher.
Any unauthorised choreography changes may result in immediate withdrawal and disqualification from representing Battu Brisé.
13. Performance Readiness
Students must arrive:
- on time,
- fully prepared,
- correctly dressed,
- with correct hair,
- correct make-up,
- and all required dance items.
Failure to arrive performance-ready may result in exclusion from the performance.
14. No Refund Policy
All fees relating to:
- entries,
- costume hire,
- rehearsals,
- private lessons,
- extra coaching,
- and performance preparation
are strictly non-refundable and non-transferable once invoiced and/or paid.
This applies regardless of withdrawal, illness, injury, scheduling conflict, or disqualification.
15. Studio Representation
All students and parents represent Battu Brisé while attending festivals, competitions and performances.
Students and families are expected to conduct themselves respectfully and professionally at all times.
Unsportsmanlike behaviour, inappropriate conduct, disrespect toward teachers, adjudicators, fellow dancers, parents or event staff may result in withdrawal from participation and/or future exclusion from studio events.
16. Acknowledgement
Festivals, competitions and concerts are an exciting and valuable part of a dancer’s training.
They provide students with:
- performance experience,
- confidence building,
- stage discipline,
- teamwork,
- resilience,
- and the opportunity to grow as performers.
Participation is a privilege and requires commitment, discipline and responsibility from both students and parents.
By signing the Entry Commitment Form, you acknowledge that you have read, understood and agree to these Terms & Conditions in full.
Media Release
Battu Brisé may photograph and video performances, rehearsals and events for promotional, educational and social media use unless written objection is submitted in advance.
Injury & Medical Responsibility
Parents/guardians acknowledge participation is physical in nature and accept responsibility for ensuring the student is medically fit to participate.
Any injury must be disclosed immediately.
Transport & Supervision
Parents/guardians remain responsible for transport to and from all rehearsals, competitions, festivals and performances unless otherwise stated.
Event Delays / Third-Party Changes
Battu Brisé is not responsible for schedule changes, cancellations, delays, adjudication changes, venue changes or third-party event disruptions outside of studio control.
Force Majeure
Battu Brisé will not be held liable for cancellations or disruptions caused by events beyond reasonable control, including but not limited to illness outbreaks, power failures, weather events, venue closures or national disruptions.
